Role Details
The Knowledge Management Specialist position is based at UKHSA’s Core Headquarters in Birmingham, Leeds, Liverpool, or London (Canary Wharf). This is a permanent role with a competitive salary ranging from £41,983 to £52,113 per annum (pro rata for part-time positions). The role offers flexible working arrangements including full-time, part-time, job share, and flexible working options.
Key Responsibilities
As a Knowledge Management Specialist, you will be responsible for developing and implementing knowledge management and mobilization principles across UKHSA activities. You will provide strategic guidance and advice on knowledge management, develop internal networks, and collaborate with individuals and communities across the agency. Your role will focus on promoting a culture of knowledge-sharing across UKHSA.
Strategic Knowledge Management
You will contribute to the development of UKHSA’s Knowledge Management programme, reporting to the Senior Knowledge Management and Mobilisation Lead. This includes contributing to the development and management of KM policies and guidance, ensuring access to specialist resources, and supporting strategic leadership for KM across UKHSA. You will help define project objectives, plans and actions, coordinate work and progress reports.
Subject Specialist Services
The role involves providing KM interventions in line with UKHSA policies, offering subject expertise for continuous improvement, and researching KM solutions for agency-wide use. You will collaborate with colleagues to develop and deliver KM services and training, contribute to the KM Advocates community of practice, and conduct knowledge audits to assess user requirements.
Knowledge Mobilisation
You will promote and socialize KM principles and tools that enable individuals and teams to routinely seek, share, use and create knowledge. This includes supporting the development of a SharePoint site for user-friendly access to KM tools, facilitating KM interventions like Coffee Connects, and building relationships with internal and external stakeholders to share ideas on service improvement.
Person Specification
Essential Qualifications and Experience
To be successful in this role, you will need either a postgraduate qualification in a Knowledge and Information Management related discipline (such as knowledge management, records management, library and information studies, information rights, information science or information management) accredited by CILIP or ARA, OR significant equivalent level of experience working in this area.
Essential Criteria
You must demonstrate relevant experience in knowledge management or information science in a professional role, experience using healthcare or scientific resources on various platforms with excellent information retrieval skills, and experience implementing knowledge management solutions. You should have experience working across multiple sites and matrix environments, along with excellent verbal and written communication skills.
Desirable Criteria
While not essential, experience in programme/project management practices, knowledge of quality improvement methods, and being a Chartered Member of CILIP would be advantageous. These additional qualifications and experiences may give you a competitive edge in the selection process.

Interview Process

Working Arrangements
This role offers hybrid working based at any of UKHSA’s Core HQs. As a hybrid worker, you’ll be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata) working at one of UKHSA’s core HQs. The offices are modern and newly refurbished with excellent city centre transport links.
Security Requirements
This position requires a Baseline Personnel Security Standard clearance. Successful candidates must pass a disclosure and barring security check as required by the Rehabilitation of Offenders Act (Exceptions Order) 1975. UKHSA will support successful candidates through this clearance process.
