Description
We are seeking a detail-oriented, proactive, and analytical Bids Coordinator to join our team.
The ideal candidate will be responsible for identifying bid opportunities, preparing high-quality tender and proposal documents, coordinating internal stakeholders, and ensuring timely submission of bids and proposals.
The successful candidate must possess strong proposal writing and presentation skills, excellent attention to detail, and the ability to manage multiple deadlines within a fast-paced environment.
Key Responsibilities
Identify and monitor bid opportunities from government, private, and international organizations.
Review tender requirements and coordinate bid preparation processes.
Prepare, write, compile, and submit RFQs, RFPs, EOIs, tender documents, and business proposals.
Develop clear, compelling, and professional proposal documents tailored to client requirements.
Prepare presentations and support bid defense or clarification meetings where required.
Liaise with internal departments to obtain technical, financial, and administrative information required for submissions.
Ensure all bid documents are accurate, compliant, and submitted within deadlines.
Maintain an organized database of submitted bids, supporting documents, and bid outcomes.
Coordinate vendor/OEM documentation and follow up on required quotations and certifications.
Assist in pricing coordination and bid clarification processes.
Conduct post-bid analysis to identify areas for improvement.
Ensure compliance with company policies and client requirements.
Requirements
Bachelor’s degree in Business Administration, Procurement, Engineering, Project Management, or a related field.
3–10 years of experience in bid management, tender preparation, procurement, proposal writing, or proposal coordination.
Strong knowledge of tendering, bidding, and proposal development processes.
Proven experience in proposal writing and preparation of professional business documents.
Strong presentation and stakeholder engagement skills.
Excellent written and verbal communication skills.
Strong attention to detail and organizational abilities.
Ability to manage multiple projects and deadlines effectively.
Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.
Experience working with OEMs, vendors, or technical documentation is an added advantage.
