Warehouse Assistant at Future Resilience and Development Foundation (FRAD)
Future Resilience and Development Foundation (FRAD) is a registered non-profit organization with the corporate affairs commission (CAC) with No CAC/IT/NO/139393 in accordance with the Nigerian Law in 2019. The organization was established with the sole aim and objective to promote social service through community development projects that ensure meaningful access to services for people in need. The organization also aims to build the Resilience of vulnerable populations, especially women and children to create a safe space for them to feel safe, and free from all forms of harm. We aim to reduce illiteracy through various education programs to ensure children are supported to go to school remain in school and become good citizens.Purpose of the Position
The Warehouse Assistant is responsible for supporting the effective management of the organization’s warehouse operations, including receiving, storing, recording, and issuing goods and materials in accordance with organizational policies and procedures. The position ensures proper stock control, accurate documentation, safe storage of items, and timely distribution of supplies to support program implementation and operational activities. The Warehouse Assistant also assists in maintaining inventory records, updating stock cards, and ensuring accountability and transparency in all warehouse transactions.
Key Responsibilities
Goods Receiving and Verification
Receive all goods delivered to the FRAD Foundation warehouse and verify them against the Purchase Order, Delivery Note, and Goods Received Note (GRN).
Check the quantity, quality, and condition of items before acceptance and report any discrepancy or damage to the Procurement and Logistics Manager.
Proper Storage and Arrangement
Ensure all items are properly labeled, organized, and stored according to FRAD Foundation warehouse management procedures.
Maintain appropriate storage conditions to prevent damage, loss, or deterioration of items.
Inventory and Stock Management
Maintain accurate stock cards and inventory records for all items received and issued from the warehouse.
Ensure all stock movements are recorded promptly in the FRAD Foundation ERP system and physical records.
Stock Issuance and Distribution
Issue warehouse items only against approved store release forms or requisitions. Ensure all items released are properly documented and acknowledged by the receiving department or program team.
Stock Monitoring and Replenishment
Monitor stock levels and inform the Procurement and Logistics Manager when items reach minimum stock levels
Support procurement planning by providing accurate stock information when required. 6. Stock Counts and Inventory Control
Stock Counts and Inventory Control
Participate in regular physical inventory counts and stock verification exercises. Assist in reconciling physical stock balances with stock records and ERP reports.
Warehouse Safety and Cleanliness
Maintain a clean, organized, and secure warehouse environment at all times. Ensure compliance with safety standards, including proper stacking, handling, and storage of materials.
Documentation and Record Keeping
Maintain proper filing of all warehouse documents including GRNs, delivery notes, stock cards, store release forms, and inventory reports.
Ensure all documentation is complete and available for internal and external audits. 9. Support to Program and Logistics Activities
Support to Program and Logistics Activities
Assist in loading, offloading, and dispatching goods to project locations and field offices when required.
Support logistics and program teams in the preparation and distribution of program materials.
Compliance with Organizational Policies
Ensure all warehouse operations comply with FRAD Foundation supply chain policies and procedures.
Maintain accountability, transparency, and proper control of all items stored in the warehouse.
Performance Measures
Performance will be assessed based on:
Inventory accuracy between physical stock and stock records
Timely receiving and recording of goods
Timely issuance of items based on approved requests
Proper completion and filing of warehouse documents
Clean, organized, and safe warehouse environment
Timely reporting of minimum stock levels
Participation in regular stock counts and reconciliation
Compliance with FRAD Foundation policies and procedures
Prevention of stock loss, damage, or expiry
Qualifications and Experience
Minimum Requirements
Diploma, HND or Bachelor’s degree related field.
Minimum of three (2) years’ experience in humanitarian response, particularly in advocacy and community engagement.
Strong computer skills including Microsoft Office.
Demonstrated ability to multitask and work under pressure.
